All documents created in Fides, e.g. resolutions, minutes and commercial register extracts, are automatically filed in the right folder in the data room. You can also define the specific folder for filing when creating documents like PoAs or Intercompany Agreements.

We propose a folder structure to be further developed by you. You can rename all folders and create subfolders where needed. You can set the same structure for all entities while still being able to modify the structure for certain entities.

You can assign a signature date to each filed document. If the document was signed via Fides, the signature date is automatically displayed. This helps you to quickly see which is the most recent document or to display all documents that have been signed in a certain period of time.

You can define a deadline for each document. These deadlines can be named as you wish, and you can either specify a concrete expiration date or a period of time for expiration. Our customers use this, for example, for PoAs, loan agreements, or the expiry of ID cards for managing directors and authorized signatories.

You can assign specific access rights at folder and file level for each user group. In this way, confidential documents can also be managed via Fides and are only released to a narrowly defined group. Similarly, you can share only specific folders, e.g. for the tax advisor or auditor or during a due diligence, so that you do not need to prepare a separate data room.

With Fides, you can send any document directly to the signatories via our DocuSign integration for signing and monitoring the progress. Additional functionalities are also available, e.g. assigning cc observers.
Important to know: You do not need your own DocuSign account! All DocuSign functionalities are fully included in your Fides license.
